Work Flow

a) Registration

  • First we register a new landlord and record their personal and contract terms.
  • Next we register their properties such as Residential or Commercial or Mixed use.
  • We note the total number of rental units in the property and each unit's description, occupation status and rental amounts.

b) Tenants Allocation

  • We register personal and contract terms of each tenant.
  • We allocate the tenant into a specific unit in a specific property setup in stage (a) above.
  • At the end of the exercise, we can clearly see the vacant houses distribution across all properties.

c) Invoicing

  • On allocation of the tenant, initial invoices are posted into tenant accounts such as rent, rent deposits etc
  • Additional invoices can be added to the overall charges per tenant depending on the contract terms.
  • Monthly Invoice charges are setup so that the system will automatically generate every beginning of the month.

d) Receiving Payments

  • Takes about 80% of all entries in the system by count.
  • Involves manual posting of amounts being paid by tenants for various services
  • Mobile payments can be automated so that the amounts paid are posted automatically

e) Making Payments

The following are the categories of payments done.

  • Cash banking. Money transfer from cash to bank accounts.
  • Landlord Expenses. Expenditure on account of the landlord
  • Landlord payment. Pay the landlord themselves
  • Office Expenses. Pay varioud suppliers on account of the office.

f) Property Sales

  • Involves sale of properties such as land, houses, apartments, leases etc
  • Register the Supplier of the land and contract terms
  • Register the customer who is buying the property of the supplier
  • Invoice the customer the full contact amounts agreed upon.
  • Receive payment from the customer on account of the supplier.
  • Pay the supplier less the commissions agreed upon

g) Comprehensive and Detailed Back Office Accounts

  • Generate Tenant Statements detailing the invoices and amounts received.
  • Generate Customer Statements detailing the invoices and amounts received.
  • Generate Supplier Statements detailing all the collections made from customers and amounts payable.
  • Debtors Analysis
  • Daily Summary detailing all the receipts and payments plus cash balances
  • Debtors analysis displaying ageing summary or simple totals can be generated
